How to Check out Equipment:

1. Open https://byui.webcheckout.net/ in a web browser.
2. Type in your BYU-Idaho User ID and Password.
3. Click “Department of Communication – Student Media”
4. Enter the Reservation Start time.
5. Enter the Reservation Duration time. Equipment can be checked out for up to 24 hours.
6. Click “Add Resources” and use the Resource Type List to find resources. Click “Add” or “Reserve one of this type” to add resources to reservation.
7. When ready click “Confirm”.
8. If there are Reservation Problems you will not be able to confirm the reservation. Clear all errors as much as possible. If unable to resolve errors, contact the Production Office at 208-496-3734 or email at commproduction@byui.edu.
9. Pick up your reservation in the Production Office in the east side of the basement of the Spori building

1. Make a reservation at byui.webcheckout.net at least 8 hours in advance.

3. Turn in the signed “Equipment Borrowing Agreement” attached here…see pdf at bottom of page.

6. Once equipment is checked out to you, keep it with you at all times.

Check in:

1. Have your I-card out and ready.
2. Make sure your memory card has been taken out of the equipment.
3. Be prepared to wait up to 15 minutes.
4. Be present during entire check-in process.
5. Please refrain from using your cell phone during the process.
6. If there was anything that didn’t work for you or was damaged, please let us know.

Word of Advice:

The Production Office has a low supply and a high demand. They operate off of a first come first serve basis. The sooner you get the request in the better chance you have of receiving the equipment you want. Do not wait until the last minute to request equipment it will eliminate unneeded stress. PLAN AHEAD!
Also, allow time when you pick up equipment. There is often a line, so don’t schedule a pick up time when you are in a hurry.

AVAILABILITY NOTE:
WED & THUR:  It may be harder to check out gear on Wednesday and Thursday because we may have some of this gear checked out to use during our Comm 300 classes. But we will always leave a few camera kits so they are available for student check out. All of the gear will be available all other days.

BANNACK: For our Bannack excursion, you may only check out a camera kit and tripod. Your instructor will bring other lighting gear for each group to use. We will also have stations with more advanced studio lighting too so you can experience that!

Production Office Rules

BYU-Idaho Communication video or photo students are given the privilege of checking out equipment from the Production Office. The Production Office reserves the right to refuse service to students at any time. To maintain the privilege of checking out equipment, the following rules must be followed:

1. Student must fill out the Equipment Borrowing Agreement form at the beginning of each semester.
2. All equipment reservations must be made online at byui.webcheckout.net.
3. All reservations, check-outs, and check-ins made though the production office must be made with university issued ID card (I-card).
4. Equipment is for educational use only. Never at any point should equipment be used for personal or professional use. (At no point should a student be paid for work using production office equipment.)
5. Misuse of equipment will result in fine and hold on account: $10 per day per allocation or hold for at least 1 week per misused equipment.
6. Improper care for, or loss of any equipment will result in the full replacement cost.
a. Never keep equipment in your car. It ruins the camera and other electronic parts of the kit.
b. All equipment must be put back in its proper place.
7. Equipment left unattended or returned to the office by someone other than borrower will result in fine and or hold on account.
a. First offense, no equipment checked-out for one week from when it’s turned in to our office.
b. Second offense, no equipment can be checked-out for the rest of the semester.
8. Returned equipment that is broken will result in a minimum $20 workbench fee plus the cost of the repair.
9. Equipment may be checked out up to 24 hours. If checkout occurs on a weekend, equipment is due back at time of checkout at next open office day.
10. All equipment is due back 1 hour before closing time.
11. Equipment not picked up within 4 hours of reservation time will result in canceled reservation.
12. Studio reservations must be made 1 week in advance.
13. Equipment renewals are allowed up to 1 hour before equipment is due. All renewals are to be made in person at the Production Office with I-card present.
14. You need to make your reservation at least 8 hours before you want to pick up the equipment.
